AvidVinyl respects your privacy and takes the protection of your personal information seriously. This notice explains what information we collect, why we need it, how it is used and the choices and rights available to you.

Payments are processed by PayPal. AvidVinyl does not need to store your full debit or credit card details.

We use only the session and browser-storage technology needed to provide store functions such as basket, account and checkout.
Information we collect
Depending on how you use AvidVinyl, we may collect:
- Your name.
- Your email address.
- Your delivery and, where required, billing address.
- Your mobile telephone number if you choose to provide it.
- Details relating to your orders, including the products purchased, order value, delivery method and order status.
- Account information if you create an AvidVinyl customer account.
- Information you send to us when you contact AvidVinyl about an order or other enquiry.
How we use your information
We use personal information where it is necessary to run AvidVinyl and provide the service you request. This includes:
- Processing and fulfilling your orders.
- Taking payment and confirming payment status.
- Preparing and delivering your purchases.
- Sending order confirmations, dispatch information and other necessary service messages.
- Providing customer service and responding to enquiries.
- Maintaining customer accounts and order history where an account is used.
- Protecting the store and customers against fraud, misuse and security problems.
- Keeping records where required for tax, accounting or other legal obligations.
Lawful bases
We generally process order and delivery information because it is necessary to perform our contract with you. We may also process information where necessary to comply with legal obligations or for legitimate business interests such as customer service, administration, security and fraud prevention, provided those interests do not override your rights.
Payments
AvidVinyl uses PayPal to process payments. When you choose to pay, information needed to complete the transaction is provided to PayPal and is also handled by PayPal under its own privacy terms.
AvidVinyl receives the information needed to confirm that payment has been made and to connect that payment with your order. We do not need to store your full debit or credit card number.
Delivery
We use Royal Mail for delivery. Information needed to fulfil your order, such as your name and delivery address, may be provided to Royal Mail or another service provider where necessary to complete the delivery you requested.
If you provide a mobile telephone number, it may be used where reasonably necessary in connection with your order or delivery.
Who we share information with
AvidVinyl does not sell customer personal information.
We may share limited information where necessary with organisations that help us provide the store and fulfil your order, including:
- PayPal for payment processing.
- Royal Mail and relevant delivery services.
- Website, email, database and hosting service providers where they process information on our behalf.
- Professional advisers, regulators, law-enforcement bodies or other organisations where disclosure is legally required or reasonably necessary to protect our rights or customers.
How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including order fulfilment, account administration, customer service, dispute handling and applicable legal, tax and accounting requirements.
Different types of information may therefore be retained for different periods. Information that is no longer required will be deleted or otherwise disposed of when reasonably practicable.
Cookies and similar technologies
AvidVinyl does not currently use advertising cookies on the customer-facing store. We use essential session and browser-storage technology only where needed to make requested store functions work.
PHP session
During checkout or other secure account functions, a temporary PHP session identifier may be created. It allows the website to keep the secure transaction/session working correctly.
Shopping basket
Browser storage may be used to remember the records you place in your basket while you shop and move between pages.
Consent
These technologies are used only where necessary to provide functions you have requested. AvidVinyl therefore does not currently display a general cookie-consent popup.
If this changes
If AvidVinyl introduces non-essential advertising, tracking or other technologies that require consent, this notice and the website's consent controls will be updated before those technologies are used for customers.
Keeping your information secure
We take reasonable technical and organisational measures to protect customer information against unauthorised access, loss, misuse or disclosure. No internet service can guarantee absolute security, but access to personal information is limited to what is reasonably required to operate and support AvidVinyl.
Your data protection rights
Depending on the circumstances, UK data protection law may give you rights including the right to:
- Ask for a copy of personal information we hold about you.
- Ask us to correct inaccurate or incomplete information.
- Ask us to delete personal information where the law gives you that right.
- Ask us to restrict how information is used in certain circumstances.
- Object to certain processing based on legitimate interests.
- Ask for eligible information to be transferred in a portable format where that right applies.
Some rights are subject to legal conditions and exceptions. We may need to confirm your identity before responding to a request.
